One client had a collection of many different business systems
that were not really integrated administratively. Keeping employees'
accounts, name changes, contact information, and position/ privileges
current was impossible. Worse, there was no way to identify that
John Doe in one system was the same John Doe in another system.
The client attempted to use paper-based systems oriented around
a centralized data entry point(s). It didn't work.
VVS Inc. developed a web-based replacement wizard that is controlled
by each user (employee, contractor, and consultant). On a periodic
basis, each user is asked to verify all their information in a step-by-step
wizard. Where the user changes information, it flows into all the
affected business systems at the same time so all the systems are
correct and up to date. When new business systems are added to the
architecture, the users are able to identify themselves in the new
system and that new synchronization is kept in a meta-directory.
Instead of using expensive SysAdmins to handle all the account
management, SysAdmins can focus their skills on their systems operation
and enhancement. The software takes care of account updates. More
importantly, a single group of people can turn on users and turn
them off (all access is cut off within 5 minutes upon dismissal
of an employee). Everything (in the systems) was correct and up
to date just by allowing people to keep their own information up
to date. This empowerment removed onerous forms, routing, approvals,
and data entry. The synchronization also facilitated inter- system
transfers of information that would not have been otherwise possible.
