  Project Examples
Project example:The Time Tracker – Process Improvement
One client used Oracle Financials (OFA) to track project cost. They asked their staff to report the hours worked by project and activity type on a form that would be approved and hand-entered into OFA. The time consuming process was very expensive and was not capturing information accurately.

Len constructed a web-based time entry system that pulled all the open projects from OFA and presented them to each individual (based on their authorization to charge to the project). The resultant information was designed to load directly back into OFA to create a closed-loop system.

This project provided the customer with a workable process that empowered employees to take responsibility for their time. Project managers were able to approve/disapprove entries as well as check actual costs in real time on their projects. Redundant data entry was completely eliminated. Employees made entries daily. Managers approved weekly. Reports were generated on demand. The system’s information even passed an IRS audit.

Reporting included many different views of the data that was accessible based on privileges. This project continues to be a success for the client. It provides them with an improved version of their existing process while providing the compliance, accuracy, and timeliness the pre-existing process could not deliver. This saved the client, in a single year, in excess of $2 million dollars in tracked depreciable expenses that would not have been deducted.

Project example:The Web Widget – Rapid Application Development
A client that was building their intranet wanted each department to control its own content and forms. They didn’t want to have to become web experts, though. Len created a web widget (reusable piece of code). When invoked with a department name as an argument, it would find the correct location in the file system and find all the forms for the department in an n-level deep hierarchy. It then rendered the hierarchy using JavaScript with links to each form. This one-day project allowed all the departments to publish all their forms in their own organized hierarchy. When any department had an update, they simply updated their file hierarchy.

The simple widget allowed the client to get configuration management on all of its forms. The intranet became the source of record for the forms. Users printed the forms on demand cutting waste and eliminating usage of “out of date” forms company wide. This web widget empowered all the departments to get their information out to users quickly using the simplest technology possible. It dramatically reduced usage of incorrect forms. Someone estimated the widget saved the company over $20,000 per year in printing and rework for the one day spent developing it.

Project Example:The Project Manager - Teaching
One project manager was used to developing requirements for projects by creating GUI’s and then working backward. The manager and Len reviewed the project requirements prior to submittal to the manager’s customer. It was going to be underbid by 50%. Len spent time explaining where the process had broken down and then spent a few hours per day over the course of a week helping the project manager explore and identify all the real requirements. He not only explained the theory, he also helped coach and guide the project manager through the whole process so she would learn both the concepts and their real application.

When the meeting occurred with the customer, she had identified the obvious elements and correctly identified all the difficult, obscure, and unmentioned elements. The customer was surprised by the thoroughness and completeness of the analysis. The bid (at the right amount) was accepted. She demonstrated what she had learned on the next project with equal success. Savings - $115,000 plus goodwill.

Project Example: SYNC – Personal Empowerment
One client had a collection of many different business systems that were not really integrated administratively. Keeping employees’ accounts, name changes, contact information, and position/privileges current was impossible. Worse, there was no way to identify that John Doe in one system was the same John Doe in another system. The client attempted to use paper-based systems oriented around a centralized data entry point(s). It didn’t work.

Len developed a web-based replacement wizard that is controlled by each user (employee, contractor, and consultant). On a periodic basis, each user is asked to verify all their information in a step-by-step wizard. Where information is changed by the user, it flows into all the affected business systems at the same time so all the systems are correct and up to date. When new business systems are added to the architecture, the users are able to identify themselves in the new system and that new synchronization is kept in a meta-directory.

Instead of using expensive SysAdmins to handle all the account management, SysAdmins can focus their skills on their systems operation and enhancement. The software takes care of account updates. More importantly, a single group of people can turn on users and turn them off (all access is cut off within 5 minutes upon dismissal of an employee). Everything (in the systems) was correct and up to date just by allowing each person to keep their own information up to date. This empowerment removed onerous forms, routing, approvals, and data entry. The synchronization also facilitated inter-system transfers of information that would not have been otherwise possible.

The client still hasn’t been able to quantify the cost saving attributed to the process improvement. Its basic impact on the company has been dramatic. Its ongoing benefits and savings continue to be discovered.
